Terms & Privacy
The short, honest version.
What OrchestraAI stores, why, for how long, and how to delete it. Written to be read, not skimmed past.
Last updated 27 September 2026. OrchestraAI is operated by SearchWave LLC ("we"). Contact: hello@practicewithorchestraai.com.
1. What we store
OrchestraAI keeps as little as it can. Here is the complete list.
| Who | What | Why |
|---|---|---|
| Anyone using the Practice Room | Nothing on our servers. Uploaded scores, mixes and settings stay in your browser unless you are signed in to a class. | Practice works without an account. |
| Early-access list | Your email and the page you signed up from. | To tell you when things launch. One click to leave. |
| Teachers | Email address and a password (hashed by our authentication provider). One class per account with a join code. | To sign you in from any device. |
| Students | The name and username the teacher types, a hashed password, and a session token that expires after 30 days. No email address, no date of birth, no photo. | To let a student sign in with the class code and reach their assignments. |
| Class content | The scores a teacher uploads (MusicXML/MIDI), assignments, and each student's graded attempts (score, pitch, timing, coverage). | That is the product: assignments and a gradebook. |
| Student recordings | The audio of a take, when a student records one for an assignment. Stored privately; only the class's teacher can play it. | So a teacher can listen, not just read a number. |
Where it lives
Class data is stored with Supabase in the United States (us-west). The website is served by Vercel. Neither is given anything beyond what the table above lists. We do not run advertising, analytics trackers, or third-party pixels on the site.
What we never do
- Sell or rent any of it.
- Use uploaded scores or student recordings to train general-purpose AI models.
- Collect student emails, or contact students directly.
- Read student passwords — they are hashed inside the database and never reach any browser, including the teacher's.
2. Students under 13 and school use
Student accounts can only be created by a teacher, and only with a name, a username and a password. We rely on the school or teacher to have the permission it needs to create those logins, in the same way it would for any classroom tool. If you are a teacher, use a first name or a nickname for younger students — the software does not need a legal name. If you are a parent and want a student's data removed, ask the teacher (they can delete the student in one click) or email us with the class code and username.
3. How long we keep it
- Class data and recordings: until the teacher deletes the student, the assignment, or the whole class.
- Student sessions: expire automatically after 30 days.
- Early-access emails: until you unsubscribe or ask us to remove you.
- Deleted data: gone from the live database immediately; any provider backups roll off on the provider's own schedule, measured in days.
4. Deleting everything
Teachers can delete a student, a score or an assignment from the portal at any time. Under Your data & account at the bottom of the Teacher Portal, a teacher can delete the entire class — every student login, score, assignment, grade and recording — together with their own account. It is immediate and cannot be undone. No email to us is required.
5. Terms of use
Your music
Upload only music you are allowed to practise from: public-domain scores, your own arrangements, or material your school or ensemble has licensed. You keep every right to what you upload; you grant us only what is needed to display and play it back to you and your class. We will remove content on a valid rights-holder request.
The service
OrchestraAI is provided free during early access, as-is, and features may change. Automated scores measure pitch, timing and coverage against the written part; they are evidence to inform a teacher's judgement, not a grade in themselves, and we make no promise about their accuracy for any particular instrument, room or microphone. We are not liable for lost data — export what matters to you.
Accounts
Keep your password to yourself; a teacher is responsible for what happens inside their class. Do not use the service to harass anyone, to upload content you do not have the right to, or to probe the system for weaknesses. We may suspend accounts that do.
Changes
If this page changes in a way that matters, the date at the top will change and signed-in teachers will see a notice in the portal.
